Event Organizer Terms & Conditions

1. Scope of Services

BookEventos provides a technology platform that enables Organizers to:

• List and promote events
• Sell tickets online
• Collect payments through integrated gateways
• Distribute tickets electronically
• Access booking and customer data

BookEventos acts solely as an intermediary service provider and does not own, manage, or control the events unless explicitly stated.

2. Organizer Obligations

The Organizer shall be solely responsible for:

• Planning, organizing, and executing the event
• Securing all necessary licenses, permits, and approvals
• Venue booking and operational arrangements
• Ensuring compliance with all applicable laws and regulations
• Managing safety, crowd control, and security measures
• Delivering the event as advertised

The Organizer agrees that BookEventos holds no responsibility for event execution or delivery.

3. Event Listing & Content Accuracy

The Organizer must ensure that:

• All event details (date, time, venue, pricing, lineup) are accurate
• Promotional materials are not misleading or false
• Any changes are updated immediately on the platform

BookEventos reserves the right to:

• Modify or remove listings that are inaccurate or violate policies
• Suspend events that may harm user trust or platform reputation

4. Ticketing & Pricing

• Ticket prices are determined solely by the Organizer
• The Organizer agrees not to engage in unfair or misleading pricing practices
• BookEventos may apply service or platform fees as agreed

The Organizer must ensure:

• Ticket inventory is accurate
• Capacity limits are respected
• No overselling occurs

5. Payments & Settlement

• BookEventos may collect payments on behalf of the Organizer
• Settlement terms (timelines, commissions, deductions) will be agreed separately
• Payments to the Organizer are subject to:
• Completion of the event
• Deduction of applicable fees, refunds, and chargebacks
• Compliance with this Agreement

BookEventos reserves the right to withhold payments in case of disputes, fraud, or violations.

6. Refunds, Cancellations & Postponements

The Organizer is solely responsible for:

• Defining refund policies
• Managing cancellations or rescheduling
• Communicating changes to customers

Key Conditions:

• Refunds must be approved by the Organizer
• BookEventos will process refunds only upon Organizer authorization
• Any financial liability arising from refunds shall be borne by the Organizer

7. Customer Experience & Entry Management

The Organizer is responsible for:

• Entry validation and ticket scanning
• Enforcing event rules and regulations
• Managing queues, access control, and security

The Organizer must ensure:

• Fair and safe treatment of all attendees
• Proper communication of entry conditions (age limits, dress code, etc.)

8. Marketing & Promotion Rights

The Organizer grants BookEventos the right to:

• Promote events across digital platforms
• Use event branding, creatives, and content for marketing purposes
• Run advertising campaigns via platforms such as Meta Platforms and Google

BookEventos may also use anonymized booking data for analytics, campaign optimization, and retargeting strategies.

9. Data Protection & Usage

Customer data collected via BookEventos remains protected under applicable data protection laws. The Organizer agrees to:

• Use customer data only for event-related purposes
• Not sell, misuse, or distribute personal data
• Maintain confidentiality and security

10. Compliance with Laws

The Organizer must comply with:

• All applicable laws and regulations in Sri Lanka
• Taxation requirements
• Licensing and event permits
• Public safety and health regulations

Failure to comply may result in immediate suspension.

11. Prohibited Activities

The Organizer must not:

• Promote illegal or unsafe events
• Provide misleading or fraudulent information
• Violate intellectual property rights
• Engage in unethical or harmful practices

12. Liability & Indemnification

The Organizer agrees to be fully liable for all aspects of the event and to indemnify and hold harmless BookEventos and Nexa Digitas Private Limited from:

• Claims, damages, or losses
• Injuries or incidents at the event
• Legal violations or disputes

BookEventos shall not be liable for:

• Event execution issues
• Customer disputes related to event delivery
• Any indirect or consequential damages

13. Chargebacks & Fraud

• The Organizer is responsible for chargebacks arising from event-related issues
• BookEventos may deduct chargeback amounts from settlements
• Fraudulent activity may result in account suspension and legal action

14. Termination & Suspension

BookEventos reserves the right to suspend or terminate Organizer accounts, remove event listings, and withhold payments on the following grounds:

• Breach of terms
• Fraud or misconduct
• Legal violations
• Negative impact on platform reputation

15. Intellectual Property

The Organizer retains ownership of their event content and grants BookEventos a non-exclusive license to use content for promotion.

16. Force Majeure

Neither party shall be liable for failure to perform due to events beyond reasonable control, including:

• Natural disasters
• Government restrictions
• Pandemics
• Civil unrest

17. Governing Law & Jurisdiction

This Agreement shall be governed by the laws of Sri Lanka, and any disputes shall fall under the jurisdiction of the courts of Colombo.
